About this policy
Imperfect Creatives Pty Ltd (ABN 73 659 338 128) is a creative production house and artist training provider based in Newstead, Brisbane. We call ourselves “Imperfect”, “we” and “us”.
We look after your personal information in line with the Privacy Act 1988 and the Australian Privacy Principles. This policy covers our website, bookings, training, services, events and emails.
What we collect
Contact details. Your name, email, phone, company or school name, location and social handles.
Booking and payment details. Bookings are made through Acuity Scheduling and card payments through Stripe. We don't see or store your full card details.
Project and session material. Briefs, scripts, self-tapes, photos, video, audio, headshots, credits, CVs, casting or agency details, survey answers and anything else you share so we can do the job.
Looking after you. If you choose to tell us about access needs or health information so we can run a session safely, we'll only collect it with your consent and use it only for that.
Young people. A young person's age and school, plus their parent or guardian's details.
Enquiries. Whatever you tell us in an enquiry form.
Website information. IP address, device and browser type, and which pages you visit, collected through cookies and similar tools.
Reviews and testimonials. Anything you choose to post or send us for that purpose.
Why we collect it and how we use it
To run your booking, session, event or project, and stay in touch about it.
To take payments, send invoices and keep the financial records the law requires.
To give you the right support and keep sessions safe.
To improve our services and website, using information that doesn't identify you where we can.
To show our work, with permission as set out in our Terms and Conditions.
To meet legal obligations.
Marketing. We only send marketing emails if you've signed up or asked to hear from us. Every email has an unsubscribe link, and we act on it straight away.
Admin tools. We use some AI-assisted tools to help with admin, like organising bookings and backend operations. A person reviews anything before it goes out, and we don't use these tools to make decisions about you. We never use generative AI to create or change images, video, voice or scripts, and your files are never used to train AI.
Young people
For anyone under 18, we ask a parent or guardian to make the booking, give consent and provide the young person's details. For school programs, the school or organisation arranges consent under its own policies. We don't knowingly collect information directly from a child without that consent. If we find we have, we'll delete it. Parents and guardians can ask to see, fix or delete a young person's information at any time.
Who we share it with
We don’t sell your personal information. We share it only with:
Trusted providers who help us run Imperfect. Acuity Scheduling (bookings), Stripe (payments), Xero and Hubdoc (invoicing and bookkeeping), Google Workspace (email, calendar and file delivery), MailerLite (email newsletters) and Framer (our website and its forms). Our accountant and bookkeeper also see financial records.
Advertising platforms. Meta and Google, to measure and show our ads (see Cookies and ads).
People you ask us to send things to. For example, an agent or casting director who needs your self-tape, or a school or organisation you’re attending through.
Authorities, when the law requires it, or to protect the rights, property or safety of Imperfect, our clients or others.
A new owner, if Imperfect is ever sold or merged, under strict confidentiality.
Sending information overseas
Some of our providers store information outside Australia, including in the United States and Europe. We choose providers with solid security and privacy commitments. By giving us your information, you understand it may be handled overseas by these providers.
Cookies and ads
Our website uses cookies, including Google Analytics, to understand traffic, remember your settings and make sharing easier. We may also use Meta and Google pixels to measure our ads and show you relevant ones. You can block or clear cookies in your browser, and change your ad preferences in your Meta and Google accounts. Our booking and sign-up tools may set their own cookies too.
Keeping your information safe
We use secure accounts, limit access to the people who need it, and deliver files through private folders. No system is perfect. If a data breach is likely to cause you serious harm, we’ll tell you and the Office of the Australian Information Commissioner as the law requires.
How long we keep it
Photo and video files. Your delivery folder stays available for 18 months after delivery. Our own copies are deleted after 2 years. We may keep finished deliverables, like showreels, headshots and scene edits. We never keep self-tapes past two years. You can ask us to delete your files sooner.
Production and showreel project files. For as long as we need them for revisions and our project archive, reviewed each year.
Enquiries that don’t go ahead. For up to 24 months.
Financial records. For 7 years, as the law requires.
Email list. Until you unsubscribe.
Photos and video used to promote Imperfect. Until you ask us to stop using them in future posts.
Seeing or fixing your information
You can ask to see, correct, update or delete the personal information we hold about you. Email enquiries@imperfectcreatives.com. We may need to check who you are first, and we’ll reply within 30 days. Some records, like invoices, we’re required to keep for a set time.
Questions or complaints
Email enquiries@imperfectcreatives.com with “Privacy” in the subject line. We’ll acknowledge it within 5 business days and aim to resolve it within 30 days.

Our website links to other websites for your convenience. That isn’t an endorsement, and we’re not responsible for how they handle your information.
Changes to this policy
We may update this policy as our business changes. The latest version is always on our website with its date at the top. If we make a big change, we’ll let our subscribers know.
